§ 1
Event Date and Venue
- The "Breath of Mars and Space Exploration" event (hereinafter referred to as the "Event") will take place on September 14 at the Faculty of Physics, Astronomy, and Applied Computer Science of the Jagiellonian University (JU), at prof. S. Łojasiewicza 11, Kraków, in room A-1-06 (230 seats + 2 spots for persons with disabilities).
- By attending the Event and entering the building where the Event is held, the Participant acknowledges and accepts these Regulations.
- Detailed information about the Event and its program can be found on the Event's website: https://oddechmarsa.uj.edu.pl.
§ 2
Event Registration
- A Participant of the Event is anyone who takes part in it.
- Participation in the Event requires prior registration via a link available on the Event's website: https://oddechmarsa.uj.edu.pl (this does not apply to the Mars rover demonstrations).
§ 3
Event Participation Rules
- Participants accept the established rules of the Event's proceedings and its program and agree not to influence changes or disrupt the Event.
- Admission to the Event is determined by the order of registration. In case all spots are filled, JU reserves the right to deny participation.
- The Event is open to organized groups with supervisors as well as individual participants.
- Minors may attend the Event only under the supervision of adult guardians or parents, who are responsible for the care of the minors during the Event.
- UJ plans to conduct photo and video coverage of the Event for documentation (e.g., reports), informational purposes (available on the Event's website and other JU websites), promotional purposes (e.g., on the Event's website and other JU websites, JU's social media profiles), and archiving (in the scope of recordings and photo coverage).
- By participating in the Event, the Participant consents to the recording and use of their image for the purposes stated in point 5 above, without entitlement to any compensation. This consent includes JU's dissemination of the Participant's image recorded in connection with the Event through: recording, reproduction using any techniques, distribution, use, commercialization, lending, public performance, posting, displaying, playing, broadcasting, public sharing, archiving, including but not limited to on JU's websites, JU's social media profiles, and JU's promotional events.
- If you do not agree to the processing of your image or other personal data, you will not be able to participate in the Event.
- By participating in the Event, you agree that your image may be used without the need to obtain your prior consent each time.
§ 4
Changes to the Regulations
- The Regulations are made available to Participants on the website: https://oddechmarsa.uj.edu.pl in a downloadable format, as well as before entering the room where the Event is held.
- JU reserves the right to change the Regulations, particularly due to changes in generally applicable laws and the need to adapt the Regulations to those changes, changes to the Event's program, or increased safety measures associated with the Event.
- Changes to the Regulations will come into effect upon their publication on the Event's website.
§ 5
Safety Rules
- Participants are required to comply with safety rules, health and safety regulations, and fire safety regulations in effect at the premises where the Event is held and to follow instructions issued by Event personnel or security personnel responsible for safety and order.
- Participation in the Event is allowed only in designated rooms and areas in accordance with the Event's current program and schedule. It is prohibited to be outside the designated Event area.
- JU is not liable for items left and lost during the Event, items left in clothing or backpacks handed over to the cloakroom, or in other publicly accessible places on the Event and JU premises.
- The provision in point 3 above applies accordingly to bicycles, cars, and other vehicles left on JU premises.
- JU is entitled to inspect luggage and use metal detectors to prevent the introduction of dangerous tools to the Event premises. Refusal to consent to such inspection by JU equates to withdrawal from the Event.
- Participants are prohibited from possessing or bringing onto the Event and JU premises any: weapons, ammunition, items deemed dangerous (e.g., knives), explosives, flammable and toxic materials, long umbrellas, animals, except for guide dogs accompanying persons with disabilities.
- During the Event, it is prohibited to express personal beliefs, including political views. JU forbids conducting commercial, promotional, or advertising activities on the Event premises, except in cases where a specific entity has obtained separate permission from JU.
- Intoxicated persons or those under the influence of narcotics, behaving in a manner that could threaten the safety of other Participants and JU, disrupt the Event order, or violate generally accepted standards of behavior in public places are prohibited from entering the Event. Event personnel are authorized to require such individuals to leave the Event premises.
- In case of public order disturbance by a Participant, Event personnel are authorized to: verify the Participant's identity; check the Participant's baggage and clothing; especially if it is suspected that the person possesses items mentioned in §5 point 6; request appropriate behavior from the Participant; demand that the Participant leave the Event premises and apply all available measures, including detention until the arrival of the Police if the Participant continues to behave in a manner that disrupts the safety and order of the Event after prior warning.
- JU is not responsible for incidents resulting from Participants' non-compliance with the Regulations, non-adherence to JU's recommendations, or instructions from Event personnel and security personnel.
- Participants are fully liable for damages to property or individuals within the JU personnel (employees and collaborators) caused by them or persons under their care. Participants bear the same responsibility towards other Participants.
- To ensure safety on the Event premises, JU may use surveillance covering the entire Event area and its individual sections.
- JU prohibits smoking, alcohol consumption, and drug use on the Event premises.
- If a Participant notices any threat to life or health, they are obliged to immediately inform the Event personnel.
§ 6
Personal Data Processing
In accordance with Article 13 of the Regulation (EU) 2016/679 of the European Parliament and of the Council of 27 April 2016 on the protection of natural persons concerning the processing of personal data and on the free movement of such data, and repealing Directive 95/46/EC (General Data Protection Regulation, hereinafter "GDPR"), the Jagiellonian University informs that:
- The administrator of your personal data is the Jagiellonian University, ul. Gołębia 24, 31-007 Kraków, represented by the Rector of JU.
- The Jagiellonian University has appointed a Data Protection Officer, ul. Gołębia 24, 30-007 Kraków, room 5. Contact with the Officer is possible via email: iod@uj.edu.pl or by phone at 12 663 12 25 – from Monday to Friday, between 8:00 and 15:00.
- Your personal data will be processed for the purpose of photo and video coverage of the event.
- Providing your personal data is voluntary but necessary for entering into the contract and participating in the Event.
- The personal data provided in the registration form will not be shared with third parties. However, your personal data in the form of your image may be captured in photos or videos from the Event and processed on JU websites and JU profiles on social media in a manner accessible to third parties for promotional purposes of JU, including event coverage – in accordance with §3 points 8-9 of the Regulations.
- Your personal data will not be transferred to third countries (outside the European Economic Area) or international organizations.
- Recipients of your personal data are entities providing IT support for the organization of the event – including the entity supplying software for event registration.
- Your personal data provided in the registration form will be processed until the Event concludes, and then for the period of limitation for claims that may arise from participation in the Event. Your personal data in the form of your image will be processed within the framework of the Event's coverage on JU websites and JU profiles on social media until you withdraw your consent for image processing.
- You have the right to: obtain information about the processing of personal data and the rights granted under the GDPR, access the content of your data and rectify it, as well as the right to delete personal data from the administrator's records (unless further processing is necessary to fulfill a legal obligation or to establish, assert, or defend claims), and the right to restrict processing, data portability, object to processing – in cases and under conditions specified in the GDPR.
- Where processing is based on consent, you also have the right to withdraw consent at any time without affecting the lawfulness of processing based on consent before its withdrawal.
- Consent withdrawal can be sent by email to: promocja.fais@uj.edu.pl, by traditional mail to: Faculty of Physics, Astronomy and Applied Computer Science, the Jagiellonian University in Kraków, ul. prof. S. Łojasiewicza 11, 30-348 Krakow, or withdrawn in person at the Faculty of Physics, Astronomy and Applied Computer Science Promotion Office, ul. prof. S. Łojasiewicza 11, 30-348 Kraków.
- Your personal data will not be subject to automated decision-making or profiling.
- You have the right to lodge a complaint with the President of the Office for Personal Data Protection, Stawki 2, 00-193 Warsaw, if you believe that the processing of personal data violates the GDPR.
§ 7
Final Provisions
- In matters not regulated by these Regulations, the provisions of the Polish Civil Code shall apply.
- JU is not liable for the cancellation of the Event for reasons beyond its control, including unforeseen circumstances such as force majeure.
- In justified cases, JU reserves the right to change the program, location, or schedule of the Event without prior notice to Participants.
- Participants will be informed of any changes to the Event via the JU website and other JU communication channels (social media).
- In the event of discrepancies between the content of these Regulations and information provided by Event personnel or other content related to the Event available on the Event's website, the Regulations shall prevail.
